International Exchange Studies Coordinator

  • Serve as administrator for Duke/China undergraduate visiting student and transfer programs
  • Coordination of visits by faculty in Physics to Chinese universities, and faculty from partner universities and others in China to visit Duke Physics department
  • Work with the Physics Department Chair and the China Faculty Council to develop the Duke to China side of the exchange program
  • Work with Duke Physics Faculty to develop Physics Summer School Courses targeted to international students. Coordinate with summer school about the offering of these courses as well as interests in these summer courses from students at our partner universities in China
  • Coordinate with Office for DKU and China initiatives about faculty teaching at DKU
  • Provide financial/administrative support for Gauthier and Behringer groups

Departmental Financial Operations
Office Hours: 7:00 AM – 3:30 PM M-F
  • Coordinate the application of procurement cards for the department
  • Clear all purchasing card transactions for the main Physics Department
  • Coordinate & participate in a variety of complex accounting tasks involved in maintaining financial records and processing related data such as invoices for the department
  • Reconcile monthly financial reports of departmental codes including reconciling them and filing
  • Print and distribute monthly financial reports and payroll on grant codes for Profs. Baranger, Plesser, Socolar and Greenside Groups and Horst Meyer
  • Prepare travel and miscellaneous reimbursements for these groups
  • Process financial transfers to correct errors on financial statements
  • Process Instrument Shop billing
  • Assist as needed with Buy @ Duke purchasing
  • SAP Security Administrator for financial systems and purchasing access

  • Liaison between graduate students and Graduate School to manage committee and exam process and track and report milestone achievements
  • Process graduate student payroll, update student funding sources with the Graduate School
  • Monitor student progress to degree by tracking requirements and sending regular reminders of upcoming deadlines, and assisting with students’ questions on Graduate School and Physics Department policies
  • Organize the Open House event for admissions recruitment and the orientation of new students
  • Assist faculty and applicants with the graduate student admissions process

Triangle Universities Nuclear Laboratory (TUNL) Support Staff

Matthew Paul
Office Hours: 8:00 AM – 5:00 PM M-F
  • Reconcile DFELL/HIGS and TUNL financial statements and prepare budgetary projections
  • Maintain accurate TUNL personnel database
  • Work with radiation safety manager to disseminate and collect personnel dosimetry badges each quarter
  • Act as Duke Procurement Card administrator, clearing any procurement card purchases, to ensure the proper use of fund codes and documentation
  • Process travel reimbursement and AP Check Requests
  • Make arrangements and plans for seminars, workshops and events, including: set-up, catering, scheduling, clean up and preparation
  • Support the teaching functions of DFELL/HIGS and TUNL faculty members.

  • Assist in preparing TUNL reports and proposals and supporting on-site reviews by funding agencies
  • Act as lead for TUNL administrative systems including Buy @ Duke, on-line travel, AP Check Requests, and  credit card processing
  • Reconcile expenditures on TUNL Sponsored Research Projects
  • Track costs of activities associated with all equipment construction projects at TUNL and DFELL/HIGS
  • Schedule and coordinate arrangements for seminars and conferences and establish appointments, meetings, and speaking engagements for TUNL Director
